The Hidden Danger in Auto-Replies

When you set an out-of-office message, you are telling anyone who emails you that you are away. While this is helpful for colleagues and clients, it also tells potential attackers that you are not monitoring your inbox closely.

Scammers can use this information to impersonate you, send phishing emails to your contacts, or time their attacks when they know you will not be watching.

What Not to Include

Keep your auto-reply as vague as possible. Avoid including:

  • Exact travel dates: Instead of saying "I will be away from April 22 to May 3," say "I am currently unavailable."
  • Your destination: There is no need to mention you are in another country or city.
  • Personal phone number: Only share your number with people who already have it.
  • Detailed reporting structure: Do not reveal who your manager is or who handles sensitive tasks in your absence.

Better Auto-Reply Practices

Here is a safer approach to out-of-office messages:

  • Keep the message short and professional.
  • Mention a general timeframe like "limited availability this week."
  • Provide a generic team email address for urgent matters instead of a personal contact.
  • Set your auto-reply to only go to internal contacts if your email system allows it.

Extra Precautions

Before you leave, let your team know to watch for suspicious emails that appear to come from you. Scammers sometimes send urgent requests for wire transfers or sensitive data while pretending to be someone who is away on vacation.

If you manage a team, consider setting up a shared mailbox or forwarding rule so important messages are handled while you are away without exposing your absence to everyone.

A Small Change, a Big Difference

Adjusting your auto-reply takes only a minute, but it can prevent attackers from exploiting your absence. Keep it simple, keep it vague, and enjoy your time off with peace of mind.
